WITS Deputy Election 2025 - Procedure

A vacancy has arisen for the post of Deputy Chair of WITS (Welsh Intensive Care Trainees' Society).

The post will be held by the successful candidate until they complete training, or they demit the role by
resignation or by a vote of no confidence.

The successful candidate will become WITS Chair when the current Chair demits the role, without the need
for a further election.

Rules of the election: candidacy
1. To be eligible as a candidate, you must be a current Wales ICM resident doctor, holding a National
Training Number in Intensive Care Medicine.
2. Nomination opens 15th January and closes at 1700hrs on 30th January 2025.
3. Nominations must be by email to John.Glen@wales.nhs.uk
4. You must nominate yourself, and include a statement (max 250 words) describing your suitability for
the role.
5. If more than one nomination is received, then an election will be held. A further communication will
be sent by email via HEIW containing the candidate names and statements.

Rules of the election: voting procedure
1. To be eligible to vote, you must be a current Wales ICM trainee, holding a National Training
Number.
2. Candidates are not eligible to vote.
3. Voting opens on 1st Feb 2025 and closes at 5pm on 14th Feb 2025.
4. Voting is by email only.
5. The invitation to vote will list candidates in alphabetical order by surname.
6. This is a secret ballot: your vote will not be revealed to the candidate or to anyone else.
7. Emails which do not arrive in the inbox of the returning officer will not be counted. It is the
responsibility of the voter to ensure that their email is functioning and that the email is addressed
correctly. I will check my spam folder, but that is as far as it goes.
8. Your vote must originate from a recognised/sensible email address, and you must include your name
in the body of the email, as well as the name of your preferred candidate.
9. You can only vote once.
10. You can only vote for one candidate.
11. Campaign materials will consist of a statement of fewer than 250 words by each candidate. The
statements will be collated by the returning officer and presented in alphabetical order by candidate
surname.
12. Campaign materials and invitation to vote will be circulated by HEIW.
13. A candidate must receive more than 50% of the votes to win. There is no minimum vote count. If no
candidate achieves this, a runoff election between the top two candidates will be held. If there are
only two candidates, then runoff rules will be followed at the outset.
14. Runoff election: the candidate who receives the most votes will win. There is no minimum vote
count. (In the event of a tie, the winning candidate will be selected by a single toss of a coin,
conducted live by the returning officer in a Teams meeting with the candidates and a neutral
observer. Selection of heads/tails will be in alphabetical order by candidate surname.)
15. Any disputes or challenges to the election process or results must be submitted in writing, no later
than three days after the announcement of the result. Disputes will be heard by a resolution
committee consisting of the TPD and RA, within five days.

The result of the vote will be announced to the candidates by close of play on Friday 21st Feb 2025, and
circulated more generally via HEIW email thereafter.
